5th Nordic RWE and AI conference

5th Nordic RWE and AI conference, 28-29 January 2025, Helsinki is organized by University of Helsinki and Åbo Akademi University. This conference is supported by NordicPOP, NordicPharmaTrain and European Federation for Pharmaceutical Industries and Associations Efpia. The Company sponsors listed in the Program have enabled use to organize the Event free of charge on Site and the City of Helsinki enables a nice Networking Event in the Evening. The Nordic Real World Data conferences have been organized since 2016. The goal has been to increase the attractiveness of the Nordic Region and EU for conducting research and increasing investments in the Region. The Networking between the Stakeholder and Country representatives from the Nordic and other European countries as well as US is also playing a vital role, and therefore the conference is designed to be a two day on site conference.

The conference will be in the Auditorium Main building of the University of Helsinki. The conference is free of charge but requires registration with the cancellation policy; cancellation done by 23:59 EET 20th January 2025 is free of charge. After 20th January 2025, the invoiceable per individual cancellation fee is 100.00€ per day of the event, and 50.00€ per individual for the separate networking event. We will also be able to arrange remote access through Zoom, however, the fee for Remote participation is 500.00€.

The information given on the registration form is stored for the purpose of arranging events and to enable the contacts requested by the person making the registration (i.e. the registrant).

4. Purpose of personal data processing and legal basis for processing

Personal data are processed for the planning, communication, and information related to various seminars, trainings, conferences, congresses, events, lectures, courses, and other events related to social and health care, well-being, expertise, science, or research.

Uses of personal data:

  • Reception and maintenance of event registrations. name and affiliation is printed on a list that will be signed on site, therefore anyone on the conference will see your attendance.
  • Communicating the event to those who have registered (incl. advance surveys)
  • Event planning and implementation, and practical arrangements
  • Collecting feedback from those who have registered
  • Analytics and statistical purposes
  • Information about future events (based on separate consent).

Personal data are processed based on the registrant's consent to the processing of their personal data for this purpose. Personal data are processed within the limits permitted and required by the Finnish Data Protection Act (1050/2018).

If the registrant has consented to the use of their contact information for notification of future events, the information collected about them can be used for profiling. In this way, queries and information about future events can be directed to the registrant, based on the target group to which they are likely to belong.

5. Data content of the register

The information to be stored in the register includes:

  • The person’s name,
  • email address,
  • job title,
  • organisation,
  • main affiliation,
  • location (country),
  • information necessary for the practical arrangements of the event, such as food allergies, restrictions, or wishes,
  • type of consent (consent to information about future events or no consent to information about future events),
  • billing address and country,
  • invoicing reference,
  • time of registration and registration link used,
  • details of the event (name, time, place),
  • answers to inquiries related to the topic of the event,
  • answers to preliminary questions related to the event,
  • answers to feedback questions related to the event.

The information necessary for the practical arrangements of the event will be destroyed after each event, regardless of the type of consent.

No consent to inform about future events

The registrant's contact information (name, company or organisation, e-mail address), exact time of registration, and possibly used unique registration link will be deleted after the event, unless other legislation requires a longer retention period. The registrant's responses to surveys are anonymised and can be used in analytics and statistical analyses in a non-personally identifiable form.

Consent to inform about future events

The registrant's contact information (name, e-mail address, location, main affiliation), event information (name, date, place, time of registration and registration link used), and answers to surveys are stored for targeted information about future events. The data are stored until the registrant withdraws their consent to data storage, after which the data is deleted, unless other legislation requires a longer storage period. When the consent has been withdrawn, the responses given by the registrant to the surveys are anonymised and can be used in analytics and statistical analyses in a non-personally identifiable form.

6. Characteristic data sources

The information to be recorded in the register is obtained from registrations sent via internet-based forms and electronic surveys in which the registrant provides their information.

7. Characteristic transfers of data and transfer of data outside the EU or EEA

Information is not characteristically disclosed to third parties. Personal data are not transferred outside the EU or EEA.

8. Principles of register protection

Care is taken when processing the register, and the information processed with the help of information systems is properly protected. When register data are stored on Internet servers, the physical and digital data security of their hardware is maintained accordingly.

The data controller ensures that stored data as well as server access rights and other data critical to the security of personal data are handled confidentially and only by those employees whose job description requires it. Descriptions of survey results and feedback are carried out in such a way that no individual can be identified.

9. Rights of the registrant

The registered person has the right to check, correct, or delete the information entered in the register, as well as to object to the use of their information for direct marketing (including profiling) and to otherwise rely on their rights protected by law. The processing of personal data is based on the consent given by the registrant, and they have the right to withdraw their consent at any time and to request the deletion of the data in question.

If a registrant wants to check, correct, or delete information about themselves, or objects to the use of their information for direct marketing, the request should be sent by e-mail to the data controller at event(at)esior.fi. If necessary, the data controller can ask the registrant to prove their identity. The data controller shall respond to the registrant within the time stipulated in the EU General Data Protection Regulation (generally within a month).

The registered person has the right to file a complaint with the Finnish supervisory authority, the Office of the Data Protection Commissioner, if they think that their personal data have been processed in violation of the EU's General Data Protection Regulation.
